Accessing the Audit Trail

The Audit Trail can be accessed using three methods:

Follow the steps below to access the Audit Trail from any SmartSolve window.

  1. Access Audit Trail from either of the three methods outlined below.
    • Setup Menu - To view the history of setup object additions, modifications, or deletions, access the Setup Object (i.e., Department list). Then, right-click and select Audit Trail.
    • SmartSolve Records - From any SmartSolve record, right-click and select Audit Trail. This allows the user to view any pertinent changes to records. In addition, the Activity folder in each SmartSolve record contains information regarding the transactions made to records, such as; check out history, opening and closing of records, etc. Only users with appropriate rights can access the Audit Trail.
    • Administrator Tools - From the SmartSolve Portal page, click the Administrator Tools tab. In the Administrative Reports section of the list, select Audit Trail.
  1. When the Audit Trail window opens, enter applicable data in the following fields to relevant search results.
    Data Field Options Definition

    Object Name

    Select an object name from the drop down menu. The list contains all audited objects. For example, select Department to view Department object history.

    Key Value

    This field label changes depending on the object name chosen in the Object Name field. For example, if Department is the selected object name, this field label changes to Department No. The operators described in the Transaction By field shown below can also be used here.

    Object ID

    Enter the object ID to be located. The object ID is the database ID for the object.

    Transaction Type

    Select a transaction type to find the following records:

    • All Insert (added records)
    • Modify (edited records)
    • Delete (deleted records)
    • Content Changed (changes to record subsections).

    Transaction By

    Zoom to select the actor or enter the name of the actor who performed the add, edit or delete action. For example, enter the actor code SMARTADMIN to view actions performed by the SMARTADMIN actor.

     

    The following operators can be used in this search:

     

    • RANGE Example: A-H (searches actor names beginning with A through H)
    • WILDCARD (%) Example: APP% (searches actor names beginning with APP)
    • OR (,) Example: EMP1,EMP2 (searches actors names EMP1 or EMP2)

    Search operators can be combined to perform a single search.

    Using Special Characters

    It is necessary to escape special characters if a special character is to be used as part of the search criteria rather than used as an operator. In this case, the special character must be escaped. To escape a special character, precede the special character with a backslash (\) character. For example, To search for the part number PRN-555-CAL, enter the text in the search field as follows PRN\-555\-CAL.

    Transaction Date

    Manually enter the date or use the calendar to search for the actions (add, edit or delete) using a specific date.

    Detail Search

    Enable this checkbox to include more detail. When this checkbox is selected, the Field drop down menu is filled with the field name of the object selected from the Object Name drop down menu.

    Field

    Select the field label to be located. This option is only active if Detail Search is enabled.

    Show All Columns

    Select this checkbox to display all object's hidden columns as follows:

     

    • Display all columns in the search results and in the Field drop down menu (if the Detail Search checkbox is selected).
    • Display all columns in the search results only (if the Detail Search checkbox is disabled).
    • By default, Show All Columns is disabled (all columns are not displayed). When theShow All Columns option is enabled, all columns are displayed.

    NOTE: The Column Name column displays only if the Show All Columns option is enabled.

    Number of Transactions

    Enter the maximum number of results to display.

    Search Archive Data

    Audit Trail can be set up to archive data based on the age of the audit trail data. The audit trail archival policy is set up by system administration.

  1. Click the Search button to display the results in the search window or click the Report button to display the results in report format
    Result: The Audit Trail results are displayed.
