Question Response Set

 

Introduction

The Question Response Set master file maintains Checklist Responses. A question response set holds all available responses that can be selected by an actor when signing off the Checklist question (i.e., YES, NO, N/A). The responses entered in the question response set are displayed in a drop down list when signing off the checklist question.

User Rights

The following Rights must be assigned to a user to manage or view Question Response Sets:

Rights

Description

QNR_MANAGE

Allows administrator to Add new object, modify existing object, or delete object.

 

QNR_VIEW

Allows user to access object to View and select.

Global vs. Local

·         Global Question Response Sets will be inherited by all Local Organizations. 

·         Local Question Response Sets will only be viewed and used within that Local Organization.

 

How to Create Question Response Sets

1.     From the Portal Page, click Smart Solutions tab > Admin and Report > Setup. Under System Wide, select Question Response Set.

The Question Response Set list displays.

2.     Select Action > Add from the main menu.

3.     Enter Code (Name) of Response Set.

4.     Click the Save button.

The Response Set Detail is now displayed.

 

How to Add Responses

1.     From the Question Response Set, select the Response tab then click Action > Add.

2.     Enter the appropriate Response.

3.     Click the Save button.

The new Response has now been added to the Question Response Set list.

Managing Question Response Set Data

Question Response Set can be Edited and Deleted. These options are available in the Question Response Set object and can be managed by an administrator.

 

How to Edit Question Response Sets

1.     From the Portal Page, click Smart Solutions tab > Admin and Report > Setup. Under System Wide, select Question Response Set.

The Question Response Set list displays.

2.     Select the   icon to switch to Local view (if applicable).

3.     Select the check box of the Question Response Set to edit, then select Action > Edit from the main menu.

4.     Edit any information for your Question Response Set.

5.     Click the Save button.

All changes are now reflected in the Question Response Set.

 

How to Delete Question Response Sets

Question Response Sets can only be deleted from SmartSolve© if the Question Response Set is not currently been attached to any SmartSolve© Checklists.

1.     From the Portal Page, click Smart Solutions tab > Admin and Report > Setup. Under System Wide, select Question Response Set.

The Question Response Set list displays.

2.     Select the   icon to switch to Local view (if applicable).

3.     Select the check box of the Question Response Set to delete, then select Action > Delete from the main menu.

4.     Click the Save button.

The Question Response Set has now been removed from the system.

Reports

The Report Setup master file contains all of the setup parameters to run reports, such as how the report will be viewed, its destination location and whether to include global records. The option is provided to setup each report individually to the needs of the organization.

All reports are set to default parameters, but can be customized. Reports may be viewed from this location by clicking the report's View link and entering report criteria, such as an occurrence date or role to narrow the report findings.

Additionally, access to reports can be limited by security rights. Parameters can be setup in each report to specify which rights an actor must possess in order to edit and run the report.
